Privacy — Job applications and registrations

We value your privacy and are committed to protecting your personal information. This policy outlines how we collect, use, disclose, and safeguard your data when applying for a job or registering with one of our career services.


What personal information we collect

We collect personal information directly from you when you:

  • register to use our candidate portal,
  • when you submit a job application, and
  • when you communicate with us.

This may include:

  • Your full name.
  • Your contact information (email address, phone number, residential address).
  • Your entitlement to work in New Zealand.
  • Demographic information (age, ethnicity, gender).
  • Your job or location preferences.
  • Your profession or skill sets.
  • Whether you have any injuries or medical conditions that may affect your ability to carry out the duties of the job you’re applying for.
  • Information about your character (e.g., criminal convictions or other charges, disciplinary proceedings, investigations or complaints and ability to work with children).
  • Your registrations with professional bodies.
  • Your vaccination information – as an employer, we have an obligation to eliminate or minimise the risk of harm to workers, patients, whanau, and others from infectious diseases (such as COVID-19) in so far as practicable. We may ask for your vaccination information to ensure you meet the pre-employment policy obligations of these agencies.
  • Records of your interactions with us (email, phone, etc).
  • Supporting documentation (such as a resume and cover letter).
  • Any other information relevant to the position you’re applying for.
  • Any other information you provide to us.

Your choice to supply information

To register to use the candidate portal, you are required to create a username and password.

When applying for a position with us, some information will be mandatory to complete the recruitment process.

If, in registering or applying, you cannot provide us with enough information to determine your suitability for a role, we may not be able to provide you with the full recruitment opportunity, and incomplete applications may be removed from the selection process.

Beyond the mandatory information, what information you provide is completely up to you, and you don’t have to tell us anything you don’t want to. However, the more information you can give us, the better equipped we are to find you suitable job opportunities.


How we use the personal information

We may use your personal information to:

  • create a candidate portal user account
  • assess your application for a role and progress you through the recruitment process as applicable
  • communicate with you
  • notify or match you with potential vacancies
  • develop and improve our services and marketing.

Sharing your information

If you have worked in the public service or for a Crown entity employer within the past three years, we may request confirmation of whether you have been the subject of a serious misconduct investigation. You have the right to either consent to or withhold consent for this disclosure.

Please note that if you choose not to provide consent, we may be unable to progress your application or offer you the full recruitment opportunity and your application may be withdrawn from the selection process.


Access to and requests to correct the information

To access any personal information held by us, or if you wish to correct your information, please email careers@tewhatuora.govt.nz.external link

When making a request to access or change your information, please include:

  • your name
  • contact address (email or postal)
  • contact phone number
  • details of the information you want or want to correct – this needs to be as clear and specific as you can make it.

We may ask you for more details.

Please note that before we can provide you with your information or make any changes, we need to be satisfied about your identity. To do so, we may need to ask you further questions or to view identification that establishes your identity.

Requesting information on behalf of someone else

If you are requesting information on behalf of someone else, you will need to provide their authorisation or other documentation to support that you have the right to do so.

When you create a recruitment profile, you have the option to receive notifications about new job opportunities that match your profile.
